IBTM World Barcelona: What a First Visit Taught Us

IBTM World is one of the largest trade shows for the meetings and events industry, held every November at Fira Barcelona Gran Via. The 2026 edition runs from 17 to 19 November, with around 2,500 exhibitors and more than 12,000 industry professionals from over 100 countries. Below, a colleague's diary from a first visit, and what a medical congress specialist gets out of the show.

A first-timer's diary from IBTM World 2022

Day 1: finding your feet

Walking into Fira Gran Via for the first time, I looked down from the upper level onto a huge, colourful hall where people moved between the stands like ants in a maze. Signs with letters and numbers guide you through it, and after a couple of meetings the layout starts to make sense. My first appointment was at the Türkiye stand, blue like the sea, with water running down one wall. By the end of the day I didn't need the map any more.

Day 2: full speed

On the second morning everyone seemed to know exactly where they were going. Conversations were more focused, agendas were full, and I moved quickly from one meeting to the next. In the gaps, walking the stands felt like a trip around the world in an hour: a chocolate swan from the Brussels stand, freshly ground coffee from Brazil and Colombia, and a team from Korea in traditional dress. I ended the day tired, taking notes on the shuttle bus back to the hotel.

Day 3: the quieter day

On the last day the halls looked huge again. There were trolley bags everywhere and fewer meetings, and I saw people hugging old friends: for many, IBTM is as much a reunion as a business event. I caught up on emails in one of the small work pods, took a last walk around the stands and tried henna painting at the Abu Dhabi stand, where the queue was finally short.

What a medical congress specialist gets from IBTM

• Hotel groups and destinations in one place. We meet the people who manage group business in the cities where medical congresses are held, and compare group terms such as cut-off dates and attrition.
• New openings and renovations. We hear early about hotels opening near congress venues, which often become good options for groups.
• Local partners. DMCs and transport suppliers we can call on for transfers, meeting rooms and dinners during congresses.
• Relationships that pay off later. When a client brief arrives, we can write to someone we've already met and get a direct answer quickly.

Tips for a first visit

• Book meetings before you arrive. The show is appointment-driven, and diaries fill weeks in advance.
• Leave gaps on day two. It's the busiest day, and the best one for walking the stands.
• Wear comfortable shoes. The halls are big, and you'll walk more than you expect.
• Use the shuttles. Buses link the venue with hotels and the city, and save time at the end of the day.
• Keep day three for follow-ups. It's quieter, and a good moment for the conversations you didn't finish.
