Back from IMEX America 2026: What It Means for Medical Congress Groups
2026-10-22 21:33:41
Since returning from IMEX America 2026 in Las Vegas, I've been working through the follow-ups. Some meetings have already turned into hotel availability enquiries for upcoming programmes. Others gave us direct contacts in destinations where we expect group requests next year. For a company that arranges accommodation and logistics for medical congress groups, this is the stage where a trade show starts to pay off.
IMEX America 2026 at a glance
IMEX America 2026 took place from 13 to 15 October at Mandalay Bay in Las Vegas. Industry reports put attendance at more than 17,800 participants and around 96,000 scheduled meetings, a new record for the show.
With that many appointments on offer, it's easy to fill three days and come home with more contacts than you can follow up properly. I kept my schedule focused on hotels, destination specialists and industry colleagues who deliver congress and group travel.
Meetings with hotels and destination partners
I attended as a hosted buyer, and I'd like to thank the team that hosted me for their support throughout the show. We've stayed in touch since, and an availability enquiry for a future programme is already in progress.
Over the three days I met international hotel groups, a destination management company based in the UK and partners working in the Middle East, with Abu Dhabi high on the agenda. With the UK team, we went through the type of group programmes we run and the support they can provide on the ground.
Some of these meetings continued relationships we already have. Others were first conversations with suppliers we may work with in the future. Both are useful for the same reason: when a client brief arrives, we can write to someone we've already met and get a direct answer quickly.
What a medical congress group needs from a hotel
When a pharmaceutical or life sciences company brings us a congress group, the room rate is only part of the decision. The client needs to know the hotel is well located, arrivals will run smoothly, transfers fit the scientific programme, and any change to delegate details will be handled.
That's why our hotel proposals for congress groups cover more than price. We check:
Real transfer time to the congress centre, based on the actual route and morning traffic. A hotel that looks close on a map can still mean a slow journey.
Breakfast opening hours. If breakfast starts at 7:00, an early transfer to the first session becomes tight.
Rooming list deadline. It often decides when delegate registration has to close.
Room block terms, including cut-off dates, attrition and name changes, agreed early.
Group arrivals and check-in, especially when many delegates arrive at the same time.
An on-site contact at the hotel who can resolve issues during the congress.
We'd rather raise these points at proposal stage than discover them on arrival day. Knowing the people at the hotel and in the destination helps here. I can ask directly how a property works for groups and check the answer against what the client needs. Each programme is still reviewed against its own brief, but the review is faster and the answers are more reliable.
After the show: turning meetings into next steps
The work after IMEX is turning new contacts into information the whole team can use. A destination presentation helps a colleague assess an option for an upcoming brief. A hotel contact means we can check availability quickly and agree room block terms early. Every follow-up gets a clear next step and a named owner, so nothing is left waiting in an inbox.
Clients don't need to see any of this. What they should notice is that the options we send fit their programme, and that their questions are answered quickly by people who know the arrangements. Over the coming months, these contacts will feed directly into the accommodation, transfers and on-site support we arrange for medical congress groups.
Thank you to everyone who made time to meet in Las Vegas. I look forward to continuing the conversations.
